Flyer Submissions
Community Flyers
Distribution of information from outside entities, regardless of affiliation with the district, is entirely at the discretion of the Office of the Assistant Superintendent for Instruction and School Improvement and the Office of Public Relations. Flyers must be approved by both offices and may be denied without reason or advance notice.
Printed Flyers
Flyers produced by outside entities are eligible to be considered for distribution to students if:
- Sufficient lead time is provided. This may vary depending on the time of year, but a minimum of one week is preferred.
- Sufficient copies are provided for the targeted grade level or building.
- Information is provided in both English and Spanish.
- Formatting is ADA compliant.
- There is no cost for the event, services, or products listed.
- The organization is a non-profit or community-based service provider.
- The event, services, or products comply with existing Board of Education policy.
- The event, services, or products align with the district’s strategic initiatives.
- The flyer is approved by the Office of the Assistant Superintendent for Instruction and School Improvement and the Office of Public Relations.
If there is a cost for the event or service but all other qualifications are met, flyers may be made available for pickup in the main office or counseling office.
Exceptions
With the express permission of the district, flyers that do not meet condition 5 regarding cost may be eligible if all other conditions are met and there is a substantial potential benefit to our students (i.e. youth sports organization sign-ups).
Entities that exist solely for the benefit of Jamestown Public Schools students, such as parent-teacher associations and booster clubs, are exempt from condition 2 regarding sufficient copies and condition 5 regarding cost. These organizations may distribute flyers to students in the buildings they serve if all other conditions are met. Flyers must be provided.
Digital Flyers and Announcements
Flyers and announcements from outside entities may be shared digitally if the relevant conditions for printed flyers are met. Exceptions may be made to condition 5 regarding cost but will be subject to a review of the total cost, benefiting party, and targeted audience.
Because digital flyers are generally not ADA compliant, they will be replaced or accompanied by a text announcement containing all relevant information. The outside entity must provide the announcement text in an easily editable format; embedding the proposed text within the flyer is not sufficient.
The Office of Public Relations is not responsible for writing or proofreading announcements for outside entities but reserves the right to edit submitted announcements for style and clarity.
TalkingPoints
Building principals may share announcements from outside entities through TalkingPoints with the express permission of the Office of the Assistant Superintendent for Instruction and School Improvement and the Office of Public Relations.
Social Media
Preference will be given to sharing existing events or posts from community partners’ social media accounts rather than publishing direct posts on district accounts.
Virtual Backpack
Announcements from outside agencies will be included in the Virtual Backpack solely at the discretion of the Office of the Assistant Superintendent for Instruction and School Improvement and the Office of Public Relations.
